School data should be handled with care.

This policy explains the information Takimu processes, why it is used and the choices schools and users have.

Important: Schools remain responsible for deciding what learner, parent and staff information they place in Takimu. Takimu processes that information to provide the service and support the school's academic operations.

1. About Takimu

Takimu is a product of Lucent Digital Creatives. References to Takimu, we or us in this policy refer to the Takimu service operated by Lucent Digital Creatives.

2. Information we process

Depending on how a school uses Takimu, the service may process:

  • school details, academic year, term and curriculum information;
  • staff names, email addresses, roles and account information;
  • learner names, classes, identifiers, attendance and academic results;
  • guardian or parent names, phone numbers, email addresses and links to learners;
  • report cards, school notices, SMS notification records and administrative activity history;
  • technical information needed to operate, secure and troubleshoot the service; and
  • information submitted through our contact form.

3. Why we use this information

We use information to provide Takimu, authenticate users, maintain school records, generate reports, provide parent access, send school communications, support users, improve reliability and protect the service from misuse.

4. School-controlled data

Academic records belong to the school that enters or imports them. Access is limited by the roles and permissions configured within the school workspace. A parent account is linked only to the learner or learners associated with that guardian record.

5. Children's information

Takimu is designed for use by schools and authorized adults, not for children to create independent public accounts. Schools should only place learner information in Takimu where they have an appropriate lawful basis and should give parents or guardians the notices required by applicable law.

6. Service providers

We may rely on infrastructure and communication providers to operate Takimu. These providers process information only as needed to provide their services. For example, cloud infrastructure stores application data and an SMS provider may receive parent phone numbers and message content when a school sends an SMS notification.

7. Data retention

School records are retained while the school account is active and as reasonably required for continuity, security, legal obligations and account administration. Contact enquiries may be retained long enough to manage the enquiry and related business relationship.

8. Security

Takimu uses access controls, school-level data separation, password protection, activity records and infrastructure security measures intended to protect information. No online service can promise absolute security. Schools should keep staff accounts secure and remove access when staff roles change.

9. Access, correction and deletion requests

Schools can manage and export many records directly through Takimu. Parents or staff seeking access to or correction of school-controlled records should normally contact their school first. For requests relating to Takimu itself, use our contact page.

10. Changes to this policy

We may update this policy as Takimu develops. The date at the top of this page will show the latest revision.
